Privacy Policy

Last updated: 30 October 2026

This policy explains what personal information Ocaykar collects, why we collect it, who we share it with, and how you can see, correct or delete it. We follow South Africa's Protection of Personal Information Act (POPIA) and, for visitors and clients in the UK and EU, the UK GDPR and EU GDPR.

1. Who is responsible for your information

OCAYKAR (PTY) LTD (registration number 2026/540580/07), based in Johannesburg, South Africa, is responsible for your personal information. Our Information Officer can be reached at kwantu@ocaykar.com.

2. What we collect

  • When you book a Platform Audit: your name, email address, community or course URL, current platform, revenue range, number of paying members and, if you choose, why you're looking to move.
  • When you use the fee calculator: the platform, sales figures and other values you enter. We only store these if you then submit the booking form, so we can prepare for your call.
  • When you book a time: the date and time of your call, your timezone and the meeting link, through our booking provider Cal.com.
  • How you found us: campaign tags in the link you clicked (for example utm_source), if present.
  • How you use the site: if you accept analytics cookies, Microsoft Clarity records pages visited, clicks and scrolling, and device and browser type. Clarity masks text you type into forms.
  • When you become a client: contact and billing details, project communications, and any data you ask us to migrate, such as member lists and course content.

We don't knowingly collect information from anyone under 18, and our services are meant for businesses and adult creators.

3. Why we use it

  • To arrange and prepare for your Platform Audit, and to send your confirmation and reminder emails. We rely on taking steps at your request before a contract.
  • To deliver and support your project and care plan, and to invoice you. This is needed to perform our contract with you.
  • To follow up after your call, or to send our fee guide if you asked for it. We rely on our legitimate interest in replying to people who contacted us, and you can opt out any time.
  • To understand and improve the website. We rely on your consent, given through the cookie banner.
  • To meet our legal obligations, such as keeping financial records.

We don't sell your personal information, and we don't use it for automated decisions that affect you.

4. Who we share it with

We share information only with service providers that help us run Ocaykar, and only what they need:

5. Where your information is stored

Some of our providers store information outside South Africa, for example in the European Union or the United States. When that happens, we use providers that are bound by data protection law or by contracts giving your information a level of protection similar to POPIA's, as section 72 of POPIA requires.

6. How long we keep it

  • Booking and enquiry records: 24 months after our last contact, unless you become a client.
  • Email delivery logs: 12 months.
  • Client project and billing records: 5 years after the project ends, as South African tax law requires.
  • Analytics data: as set by Microsoft Clarity, currently up to 13 months.

After that we delete or anonymise it.

7. How we protect it

Our database is not publicly accessible and only our server can write to it. Data is encrypted in transit (HTTPS), access is limited to people who need it, and we use strong, unique passwords and two-factor authentication on our accounts. If a security breach affects your information, we'll tell you and the Information Regulator as POPIA requires.

8. Your rights

You can ask us to:

  • tell you what personal information we hold about you and give you a copy
  • correct information that is wrong or incomplete
  • delete your information, where we don't need to keep it by law
  • stop using your information for follow-up emails or other direct marketing
  • object to how we use your information, or withdraw consent you've given
  • in the UK and EU, transfer your information to another provider
